Our approach to data security

When considering a PMR partner for your pharmacy, security and how they store data relating to your business should be among your top priorities.

Where is data being stored? What security is in place to protect data? Is data being held in locations outside the UK? What processes are in place in the event of a breach? These are all questions you should be putting to providers when making your decision.

Why is data security important?

  • Patient Confidentiality: Pharmacies handle sensitive patient data such as medical history, prescription details, and personal information. It is important to ensure that this data is kept confidential and secure to protect patients’ privacy and prevent any breaches of data.
  • Compliance with Regulations: The General Data Protection Regulation (GDPR) and other UK data protection laws require pharmacies to protect the personal data they hold and process. Failure to comply with these regulations can result in significant penalties, fines, and reputational damage.
  • Cybersecurity Risks: Pharmacies are increasingly targeted by cybercriminals who seek to steal sensitive data or disrupt pharmacy operations. It is important to implement robust cybersecurity measures to prevent data breaches and protect the pharmacy’s reputation.

It is important to have a data security strategy in place to minimize the impact of any security incidents and ensure business continuity.

What does RxWeb do to ensure data security?

When it comes to data and security, we provide complete peace of mind to customers and by extension, their patients. Here’s a summary of how we approach data security:

  1. Cloud based technology – RxWeb is a cloud based system so it is inherently safer than solutions that are locally hosted. With RxWeb data is not stored on your computer and therefore is not susceptible to corruption of theft.
  2. Realtime backups – RxWeb backs up every click and every keystroke automatically meaning you can always pick up where you left off with no risk of losing data.
  3. Two data centres – We use two data centres located in separate locations in order to minimise any risk of data loss.
  4. Safe and secure – Our data centres are ISO 2700 & 9001 certified.
  5. UK data centres – We host your data in secure data centre’s located here in the UK so no data is being sent overseas.
  6. Trusted partners – We have been long time partners of Microsoft using Azure servers.
  7. NHS Approved – RxWeb works closely with the NHS to ensure the highest standards of security are met.

We are delighted to announce that after a successful rollout One-Click Dispensing is now available for all customers!

After a successful piloting phase and a gradual release out to customers we are delighted to announce that One-Click Dispensing is now available for all customers. We would like to thank the RxWeb User Group for their valuable insights and feedback. Our user group has always helped put our customers at the centre of any piece of development we release.

One-Click has already been a huge success! This new feature was developed to dramatically speed up the dispensing flow for repeat items or items repeated to a patient where no changes have occurred. And that is exactly what it is doing. Customers who are using the feature are saving hours on dispensing each week which many are redeploying into service provision and other areas.

We are delighted to announce that One-Click Dispensing is now ready for deployment.

 

This brand new feature was developed to dramatically speed up the dispensing flow for repeat items or items repeated to a patient where no changes have occurred.

After piloting One-Click for a number of weeks, we are delighted to announce that we are now ready to deploy this new game changing feature. Over the coming weeks we will be switching on One-Click for each of our customers. Due to the complexity of this piece of development, the process of onboarding customers will be gradual. In short, One-Click Dispensing enables the fast dispensing of electronic prescriptions in ‘one click’, rather than having to navigate through multiple screens to process the prescription and print the labels.

It uses a series of algorithms to determine if each prescription is eligible, which include:

  • The EPS patient is already matched with a local patient in RxWeb.
  • The drug has been dispensed previously within X number of days. The system default is 180 days, but this is configurable.
  • There has been no change to the dosage or quantity since the last dispensing.
  • The drug does not appear on the One-Click Exclusions list.

This is a user configurable list that can be set up via Group Admin. In the To Be Dispensed Queue there is a column with the heading O-C. This stands for One-Click and indicates with a Yes or No whether the prescription is eligible for One-Click Dispensing.

One-Click will allow the dispensing of repeat scripts (eRPT and RPT), as well as, Acute (ACU) scripts (configurable option), which meet the criteria.

Scripts eligible for One-Click are calculated by looking at how many EPS scripts in a typical community pharmacy would meet the One-Click criteria.

Other benefits include:

Introducing One-Click Dispensing

We are delighted to introduce our new game-changing feature, One-Click Dispensing.

We understand the growing pressures on pharmacies to adopt a more service-led role within public healthcare. As your PMR provider, we see it as our responsibility to work with our customers to bring new efficiencies and improved workflows to your RxWeb system, freeing you up to focus on what matters, delivering exceptional care to the public.

This brand new feature was developed to dramatically speed up the dispensing flow for repeat items or items repeated to a patient where no changes have occurred.

 

So how does it work?

One-Click uses a series of algorithms to check each prescription downloaded into the “To Be Dispensed” queue to check if they are eligible for One-Click Dispensing.

The algorithms check that each item to be dispensed is for a known patient and meets the One-Click criteria, which includes the following checks:

  • The drug is one that has been dispensed previously for the patient within x days (system default is 180 days, but this is configurable).
  • There has been no change to the directions.
  • There has been no change to the dosage.
  • The drug does not appear in the ‘One-Click Exclusions’ list (created and managed by you).

There are a number of configuration options within RxWeb to allow you to set certain algorithms so that the system will work in the best way for your pharmacy, keeping you in control.

 

What types of prescriptions will One-Click cover?

When do you get it?

One-Click will be included in the next system release scheduled for the coming weeks. Initially, One-Click will be piloted by a small number of customers before being released to everyone early in the new year. Once available, you will be able to switch it on at your own discretion. Early testing and feedback have been hugely positive.

We are very excited for you all to get your hands on this brilliant new feature. We have enjoyed bringing our customers some truly innovative updates throughout the year and we look forward to bringing even more in 2022.

 

Save Hours Each Month With Trusted Dosages

Your team could save hours each month with our new Trusted Dosages feature!

 

What is Trusted Dosages?

You may remember that we introduced this new feature in our August release. This new feature allows RxWeb to convert many of the common GP text Strings to a Trusted Dosage mapping.

For Example, in 3 months across our environment, the downloaded GP Dosage of ‘1 nocte’ occurred 30931 times.

This would usually be changed to ‘ONE to be Taken at NIGHT’. Further analysis showed hundreds of variants of codes that essentially meant the same thing e.g. take one daily, One To Be Taken Each Day, 1 TABLET ONCE A DAY, take one once daily, TAKE ONE DAILY, ONE TO BE TAKEN DAILY, 1 OD, One To Be Taken Daily, 1 TABLET ONCE DAILY occurred 855420 times.

All of these are essentially ‘ONE to be Taken DAILY’.

RxWeb has had a pharmacist prepare a system mapping table of the commonly seen dosages strings to a clear and consistent instruction. This is also something you can manage yourself if you choose to. If you don’t think our mappings fit your requirements you can create your own.

 

The Impact

Since its launch back in August, Trusted Dosages has had a major impact on the customers using it, helping them to save hours each month whilst improving the clinical safety of manually entering dosage syntax. We have estimated that on average, a successfully mapped item saves a pharmacist about 3 seconds in checks and changes.

Although feedback from users would suggest that this is a very conservative estimate with many saying that they are probably saving 4-5 seconds per item.

So how do those saved seconds translate? Well, in the below table we have outlined exactly how many seconds, minutes, and hours we’ve saved Trusted Dosage users in the past month.

Trusted Dosages has saved our customers over 1,246 hours of work in the first month of use. This equates to a saving of almost 3 hours per site, per month. And it’s worth noting that these numbers are set to increase substantially as we have now increased the number of Trusted Dosage mappings from 300 to over 1000.

 

How to enable Trusted Dosages on your system

Trusted Dosage can be switched on in system configurations. From the menu at the top of your screen go to System/System Configuration and select the options shown under Categories and Sub Categories. Highlight the line ‘Use Trusted Dosage Conversion’ and change the value at the bottom to ‘Yes’ and then press ‘Update’.

CASE STUDY: The Valley Pharmacy

The Valley Pharmacy is situated in Holmfirth, Huddersfield. It is owned and operated by Mr. Tausif Hameed. Mr. Hameed and his team have been using RxWeb since 2016 and in this case study, he shares his experiences of using the system and what it has meant for his business.

 

MAKING THE SWITCH

After choosing RxWeb back in 2016, not only has Mr. Hameed been successful in cutting costs, but he quickly discovered that RxWeb could offer his pharmacy and business much more than his previous PMR providers.

“We use RxWeb in 2 of our branches. One is a 40-hour pharmacy-based here on Holmfirth Road and the other is an online pharmacy. When we decided we were going to make a change the biggest things for us was cost and ease of use. We still wanted a system that had the functionality, but we felt we could get a better deal,” explains Mr. Hameed. “The onboarding process was very simple. We were up and running very quickly and it didn’t take long for us to see the positives of the web-based system.”

“I was hesitant to change my PMR system at first as I didn’t particularly want to learn a new PMR system or have the disruption within my pharmacy. But I can honestly say the switch over to RxWeb was so incredibly easy. I wanted to increase my PCs from 2 to 4 and I thought I would have to buy all new hardware and have new network cables installed for the extra PC’s, but this was not the case. I was able to use my old hardware and simply buy 2 new PC’s which I could connect via Wi-Fi, so it was really easy with very little disruption to my Pharmacy. RxWeb installed their software onto my PC’s, transferring my old data across which I could repeat from and then Maggie the trainer spent a full day with my pharmacy team showing us how to use the system. We basically started on RxWeb exactly where we left off on our old PMR System.”

Stop Spending Thousands On Hardware

How To Record a Covid-19 Vaccination Within RxWeb

As a number of our customers are involved in the provision of Covid-19 vaccinations, we wanted to share a useful guide on how to record a Covid-19 Vaccinations within RxWeb.

To give you context, we are provided with a new dispensing file by the dm+d on a weekly basis, which populates the dispensing screen in RxWeb. Only drugs which appear on this list can be dispensed. As the Astra Zeneca vaccine is not yet on the list,  there is no option to dispense it.

The below guide will give you a temporary solution while we wait for the dm+d to provide an updated dispensing file. We will be in contact with them and will update you of any developments.
